Why Businesses Come to Us for Cloud Accounting

Our Cloud Accounting Services

We provide a full cloud accounting service — from initial review and software selection through to implementation, training and ongoing support. We work with established businesses across Yorkshire and are experienced with all the major platforms.

1

Review your current systems and processes

Before recommending any software, we look at how your business currently operates — what’s working, what isn’t, and what you actually need from a cloud system. We don’t recommend change for its own sake.

2

Advise on the right software for your business

Sage, Xero, QuickBooks, Dext, AutoEntry — we work with all of the major platforms and recommend based on your business size, sector, reporting needs and how your team works. We have no commercial incentive to push one platform over another.

3

Full setup, migration and data clean-up

We manage the migration from your existing system carefully, ensuring historical data is transferred accurately and your opening balances are correct. A clean start makes everything easier going forward.

4

Training for you and your team

Software is only useful if your team knows how to use it properly. We provide practical, hands-on training tailored to the roles involved — whether that’s your finance manager, office manager or the business owner directly.

5

Ongoing bookkeeping, VAT and reporting support

Many clients choose us for ongoing support after implementation — regular bookkeeping, VAT returns, management accounts and financial reporting. This is where the real value of cloud accounting is realised.

6

Integration with payroll, forecasting and other tools

Cloud accounting platforms integrate with payroll software, forecasting tools, CRM systems and expense management apps. We help you build a connected finance function rather than a collection of separate systems.

What is Making Tax Digital and do I need to comply?

Making Tax Digital (MTD) is HMRCs programme requiring businesses and individuals to keep digital financial records and submit tax information electronically. MTD for VAT is already mandatory for all VAT-registered businesses. MTD for Income Tax (MTD ITSA) applies from April 2026 to self-employed individuals and landlords above the qualifying income threshold, requiring quarterly digital updates to HMRC rather than a single annual return. For current thresholds visit gov.uk/making-tax-digital-for-income-tax or speak to our team.

Will you help us migrate from our current accounting system?

Yes. We manage the migration process from start to finish, including transferring historical data, cleaning up records, setting opening balances and ensuring everything is correct before going live. Migration is often where things go wrong when businesses switch without proper support, so we treat it carefully. For most clients the transition is smooth and causes no disruption to the running of the business.

What is cloud accounting and how is it different from desktop accounting software?

Cloud accounting software stores your financial data on secure remote servers rather than on a local computer or server. This means you can access your accounts from any device, your data is automatically backed up, and your accountant can work from the same live data as you — eliminating the need to send files back and forth. Platforms like Sage Business Cloud, Xero and QuickBooks are all cloud-based.

Which cloud accounting software is best for a small or medium-sized business?

There is no single best option — the right software depends on your business size, sector, VAT scheme, payroll requirements and how your team works. Sage Business Cloud is well-suited to established SMEs with more complex reporting needs. Xero works well for businesses with remote teams or multiple locations. QuickBooks is a good fit for simpler owner-managed businesses. We recommend the right platform for your specific situation rather than defaulting to one product.

How much does it cost to switch to cloud accounting?

The cost depends on the software chosen, the complexity of your existing data, and the level of ongoing support required. We provide a clear quote before any work begins. Most businesses find that the time saved on bookkeeping, VAT preparation and year-end work more than offsets the cost within the first year.

Do you provide ongoing support after the cloud accounting system is set up?

Yes. Many clients choose ongoing support after implementation, including regular bookkeeping, VAT return preparation, management accounts and financial reporting. This is where the ongoing value of cloud accounting is fully realised, particularly when your accountant is working from the same live data as you throughout the year.

Can cloud accounting integrate with our payroll system?

Yes. Cloud accounting platforms such as Sage, Xero and QuickBooks integrate with payroll software, creating a joined-up view of your finances. WDS manages both cloud accounting and payroll for many Yorkshire clients, which means your payroll journals post correctly to your accounts, your management accounts reflect accurate staff costs, and year-end preparation is more straightforward.

Is cloud accounting data secure?

Yes. Cloud accounting platforms use bank-level encryption and secure data centres with regular automated backups. Your financial data is better protected than on a local desktop system or spreadsheet, where loss through hardware failure, theft or accidental deletion is a genuine risk. Access is protected by passwords and, on most platforms, two-factor authentication.
