Eligibility assessment every pay period

Identifying which employees must be automatically enrolled, which are entitled to opt in, and which can be excluded based on age and earnings

Enrolment processing

Enrolling eligible employees into the qualifying scheme, issuing the required written communications to employees, and processing any opt-out notices received

Contribution processing

Calculating employer and employee contributions at the correct minimum rates (currently 3% employer, 5% employee on qualifying earnings), deducting employee contributions through payroll, and submitting contribution data to the pension provider on time

Three-yearly re-enrolment

Identifying the re-enrolment date, re-enrolling eligible employees who have previously opted out, and completing the re-declaration of compliance to The Pensions Regulator

Postponement

Applying postponement periods of up to three months for new starters where this is appropriate, and managing the assessment and enrolment at the end of the postponement period

How Our Payroll Process Works

You send us your payroll data

Before each pay run, you send us the information we need — hours worked, any variable pay, new starters, leavers or changes since the last period. We agree a clear cut-off date and time with you so the process runs to a consistent timetable and you always know when to expect your reports back.

We process and calculate

We calculate gross to net pay for each employee, applying the correct tax codes, NIC rates, pension contributions, statutory payments and any other deductions. We carry out a sense-check before finalising — flagging anything that looks unusual before the reports go out.

You receive reports for approval

We send you a clear summary showing exactly what needs to go out: net wages for each employee, PAYE and NIC due to HMRC, and pension contributions due to your provider — with payment dates flagged.

Payslips are distributed

Payslips are emailed directly to employees or sent to you for distribution, according to your preference. Director payslips can be handled separately if required.

We file with HMRC and pension providers

We submit the RTI Full Payment Submission to HMRC on or before pay day, and send contribution data to your pension provider. We send you a reminder of the PAYE payment date to HMRC — 19th of the following month for cheque, 22nd for electronic payment — so nothing is missed.

We handle queries and in-year changes

Throughout the year we deal with payroll queries from you or your employees, process new starters and leavers, apply tax code changes received from HMRC, and advise on any employment changes that affect payroll — such as maternity leave, changes in hours or employment status, or new benefits.
